What Is Catch-Up Bookkeeping (and Do You Need It)?
Months or years behind on your books? Catch-up bookkeeping gets you current — here's how it works.
What Is Catch-Up Bookkeeping (and Do You Need It)?
If you've been running your business for a year — or three — without keeping up with your books, you're not alone. It's one of the most common situations we see. Life gets busy, the business takes priority, and the books get pushed to "I'll deal with it later."
Later is now. Here's what catch-up bookkeeping is, how it works, and whether you need it.
What Catch-Up Bookkeeping Is
Catch-up bookkeeping (sometimes called cleanup bookkeeping) is the process of going back through your financial history and getting everything recorded, categorized, and reconciled correctly.
That means:
- Importing all transactions from your bank and credit card accounts
- Categorizing every expense and income item correctly
- Reconciling each account to the actual statements
- Cleaning up any duplicate entries, miscategorizations, or missing data
- Producing accurate financial statements for the period covered
The end result is a complete, accurate financial record — as if you'd been keeping up with it all along. Not sure if you actually need it? Check out 5 signs your business books are a mess — if two or more apply, catch-up bookkeeping is probably the right first step.
Who Needs It
You probably need catch-up bookkeeping if:
- You haven't touched your books in months — or ever
- Tax season is coming and you have nothing to give your accountant
- You're applying for a loan and need to show financial statements
- You're bringing on a bookkeeper and need a clean starting point
- You're selling your business and need accurate historical records
Even if none of those apply, there's value in simply knowing where your business stands financially. You can't make good decisions with bad data.
How Far Back Can You Go?
As far back as you need to. We've cleaned up books that were untouched for three or four years. It takes longer and costs more than a one-month cleanup, but it's absolutely doable.
The key is having access to your bank and credit card statements for the period in question. Most banks keep statements available online for at least 12–24 months. For older records, you may need to request paper statements.
What the Process Looks Like
Every cleanup is a little different, but the general process looks like this:
1. Initial assessment We look at what you have, what's missing, and how far back we need to go. This gives us a clear picture of the scope of work.
2. Access and setup We'll need access to your bank accounts (read-only is fine), your QuickBooks Online account, and any other relevant accounts. If you don't have QBO yet, we'll set it up as part of the process.
3. Transaction import and categorization We pull in all transactions and categorize them correctly based on your business type and industry.
4. Reconciliation We reconcile every account to the actual bank and credit card statements to make sure nothing is missing or duplicated.
5. Review and delivery We walk you through the finished books and deliver clean financial statements — P&L, balance sheet, and anything else you need.
How Long Does It Take?
It depends on the volume of transactions and how far back we're going. A single month of cleanup might take a day or two. A full year with multiple accounts could take a week or more.
We'll give you a clear timeline and flat-rate quote before any work begins — no surprises.
What Happens After
Once your books are caught up, you have two options: keep up with them yourself going forward, or hand them off to a bookkeeper to maintain monthly.
Most clients who go through a cleanup end up on a monthly bookkeeping plan. Once you've seen what clean books look like, it's hard to go back to the chaos. That's what our Stay on Track ongoing bookkeeping service is built for — keeping your books current every month so you never end up here again.
